We are seeking a highly organized, strategic, and solutions-oriented Executive Assistant to support a team of senior bankers within a dynamic, fast-paced professional services environment. This is a high-impact role for someone who excels at managing complexity, anticipating needs, and keeping operations running smoothly for multiple executives. You will serve as an essential partner in helping the team stay focused, prepared, and operating at full effectiveness.

Key Responsibilities
Executive Support & Prioritization
- Manage sophisticated calendars for multiple senior leaders, proactively resolving conflicts and anticipating scheduling needs.
- Oversee inbox activity and assist with drafting or responding to communications on behalf of executives.
- Maintain exceptional organization across contacts, files, documents, and follow-ups.
Travel, Logistics & Expense Management
- Coordinate complex domestic and international travel itineraries, including air, hotel, ground transportation, and on-site logistics.
- Process and reconcile expenses accurately and in a timely manner.
Meeting & Event Coordination
- Lead end-to-end planning for meetings, conferences, and on-site sessions.
- Secure meeting spaces, arrange catering, coordinate A/V support, and ensure all materials and technology are ready.
Communication & Relationship Management
- Serve as a primary liaison for internal teams and external partners.
- Prepare polished business communications, briefing materials, and presentations.
- Maintain a high level of professionalism and discretion when handling confidential information.
Team Support & Leadership
- Provide guidance and best practices to other administrative colleagues.
- Act as a culture champion-collaborative, supportive, and committed to helping the team succeed.
Qualifications
- Bachelor's degree preferred plus 4-6 years of experience supporting senior-level executives.
- Must have experience supporting multiple leaders simultaneously.
- Prior experience in financial services, professional services, consulting, or a fast-paced corporate environment is highly preferred, though industry background is flexible.
- Advanced proficiency in Microsoft Office Suite, especially Outlook, PowerPoint, Word, and Excel.
- Strong editing, formatting, and presentation-building abilities.
- Proven expertise in high-volume calendar management, task prioritization, and executive communications.
- This is a 100% in-office position, with occasional flexibility for one-off personal needs.
- Light after-hours email responsiveness expected.
Details
- Base Salary: $85,000 - $100,000 + annual bonus
- Schedule: Monday-Friday, 8:30 AM-5:00 PM or 9:00 AM-5:30 PM
- Employment Type: Direct hire, full benefits
